Merit Register Terms, Conditions and Privacy Notice
1. Purpose of the Merit Register
The Prospera Merit Register is maintained by Cowater International Inc. to identify suitably qualified individuals who may be considered for short-term or long-term advisory and support roles under the Prospera program. Inclusion on the Merit Register does not constitute an offer of engagement.
2. Merit-Based Assessment
Applications are assessed on the basis of merit, including relevant qualifications, experience and suitability for potential program requirements. Assessments are undertaken in a manner that is fair, transparent and consistent with good public sector recruitment practice.
Cowater may contact referees and undertake appropriate probity checks if an applicant is being considered for a specific engagement. This may include contacting individuals not nominated as referees where appropriate for due diligence purposes.
Applicants not progressed for a role will be advised. Feedback is not provided as a matter of course.
3. Safeguarding and Probity Declarations
By submitting an application, you declare that you have not committed, nor been charged with, child exploitation or related offences. Engagement may be conditional upon satisfactory completion of criminal history, safeguarding and other probity checks. Compliance with applicable health, safety and travel requirements, including those of host countries and partner institutions, may be required for certain roles.
4. Collection and Use of Personal Information
Personal information submitted through the Merit Register is collected for workforce planning, recruitment and program delivery purposes. This information may be used to:
- assess suitability for current or future roles
- administer contractual and payment arrangements
- meet legal, donor and contractual compliance requirements
- support duty of care, safeguarding and risk management obligations
Information may be accessed by authorised Cowater personnel and contracted service providers supporting system hosting or program administration. These providers are required to maintain confidentiality and data security.
5. Information Held
Information may include contact details, identity documentation, qualifications, employment history, remuneration information (where relevant to engagement), and information required to meet compliance or safeguarding obligations.
6. Data Security
Cowater applies appropriate administrative, technical and physical safeguards to protect personal information from unauthorised access, loss or misuse. Access is limited to individuals with a legitimate role-related requirement.
7. Retention of Information
Information will be retained for as long as required to support program operations, meet legal or contractual obligations, or resolve administrative matters. Information may be de-identified for statistical or planning purposes.
8. Access and Correction
Subject to applicable law, individuals may request access to or correction of their personal information. Individuals are responsible for ensuring information provided remains accurate and current.
9. Declaration
By submitting your Merit Register application, you acknowledge that:
- inclusion on the register does not guarantee engagement;
- information provided is true and correct;
- false or misleading information may result in removal from consideration;
- you consent to the collection and use of your information for the purposes outlined above.
